Annual Maintenance Contracts

AC & HVAC Maintenance Contracts in Dubai

For property portfolios, offices, malls, restaurants, clinics, schools and industrial sites. Scope written into the agreement, fixed pricing for the term, and a documented record of every visit.

An annual maintenance contract is not a discount scheme. It is a different operating model: equipment attended on a schedule, faults found while they are still small, and a documented record of what was done to every system on your estate.

Reactive maintenance is the most expensive way to run a building, and the cost is rarely where people look. Emergency call-out rates are higher, but the real expense is what the failure took with it. A refrigerant leak nobody found destroys a compressor. A bearing nobody heard takes the motor. A condenser nobody cleaned runs the system continuously until it fails at peak load, in August, when every contractor in Dubai is already committed.

The UAE climate compresses all of this. Air conditioning here runs close to year-round rather than seasonally, so equipment accumulates far more operating hours per year than the same unit in a temperate country. Desert dust loads coils in weeks. Coastal humidity keeps the inside of a system damp for most of the year. Maintenance schedules written for European or North American conditions materially under-serve buildings here, which is why we work to three to four month intervals rather than annual.

For commercial clients the second value of a contract is evidential. Planned visits produce documentation, and documentation is what insurers, inspectors, tenants and boards ask for when something goes wrong. A managing agent who can produce a dated service record per unit is in a very different position from one who cannot.

We write scope into the agreement before signature. What is covered, what is excluded, how quickly we respond and what it costs are all itemised. That is deliberate: the most common complaint we hear about previous contractors is not price, it is discovering after a failure that the thing which failed was not covered.

Contracts run across residential portfolios, offices, retail, hospitality, healthcare, education, industrial and cold-chain sites. Multi-site clients run under a single agreement with one point of contact and consolidated invoicing.

Contract tiers

Priced per unit type and frequency after a site survey. Every tier is itemised in writing before signature.

Essential

Scheduled preventive maintenance

Quarterly visits covering filters, coils, drains and airflow, with readings recorded and a report after each attendance. Breakdown attendance at agreed contract rates. Suits villas, small offices and single retail units where the equipment is in reasonable condition and the priority is keeping it there.

Comprehensive

Preventive plus covered labour

Everything in Essential, plus labour included for covered repairs between visits and priority response ahead of ad-hoc call-outs. One annual deep clean included, scheduled before peak summer. Suits residential portfolios, mid-size offices, clinics and restaurants where downtime has a direct commercial cost.

Full-Cover

Preventive, labour and parts

Everything in Comprehensive, plus specified parts and consumables included, defined response times in hours rather than days, and an annual condition report across every system on the contract. Suits malls, hotels, cold retail, industrial sites and managed portfolios where a failure is a business interruption rather than an inconvenience.

Frequently Asked Questions

Scheduled preventive visits at an agreed frequency, defined response times for breakdowns between visits, labour for covered work, and a documented report after every attendance. Scope is written into the agreement before you sign, itemised, so there is no argument later about whether something was covered.

Per unit type and visit frequency, after a site survey. A villa with eight indoor units and a 200-unit residential tower are different problems and we price them differently. What does not vary is that the figure is fixed for the term rather than revised mid-contract.

Usually, and we will show you the arithmetic at survey rather than assert it. The direct saving comes from planned rates against emergency rates. The larger saving is the failures that scheduled attention prevents, which are the expensive ones: a compressor lost to a leak nobody found, or a motor lost to a bearing nobody heard.

Parts, unless the agreement specifically includes them. Damage from misuse, power surges or third-party work. Replacement of equipment at the end of its life. All of it is listed explicitly in the agreement rather than buried in a clause.

Response times are written into the agreement, not left vague. Total cooling failure in occupied premises, cold rooms and commercial kitchens are prioritised ahead of routine work.

Yes. Multi-site portfolios run under a single agreement with one point of contact, one schedule and consolidated invoicing. For managing agents this is usually the main reason to consolidate contractors.

We issue a condition report covering every system on the contract, including expected remaining life, so renewal or capital replacement is a decision made on evidence rather than at short notice after a failure.

Yes, and most clients do. A single service, then a building, then the portfolio. There is no requirement to commit the whole estate at the outset.
